The Hurlingham Polo Association breaks new ground with online system

We are delighted to announce that the Hurlingham Polo Association (HPA) is now a member of the Sport:80 Community. The HPA has adopted the Sport:80 Platform to support its membership, handicap system, events, qualifications and various other areas. The launch of the Platform has also seen the introduction of an online portal for HPA members – a first for the governing body.

When we first met with the Hurlingham Polo Association, we knew that they were an organisation we wanted to work with. Inspired by their vision to transform the organisation’s digital footprint, we set to work on an online system the likes of which had never been seen in the Polo community before.

Mid-way through April, and after many months of hard work, we pushed the big green button and the HPA’s vision became a reality with the launch of its new membership and events platform. Now, and for the first time ever, members of the HPA have their own dedicated online portal to manage their affiliation with the sport. From their account, HPA members can manage their polo profile as well as their membership, handicap and qualifications. They can also register for a variety of polo events among a host of other features.

‘A huge step forward’

This was an incredibly ambitious project given that the HPA had never had a member-facing platform before. David Woodd, Chief Executive at the Hurlingham Polo Association believes its introduction will be of significant benefit to all those involved in the sport, as well as the governing body:

“This is a huge step forward for our organisation, and it’s going to transform how we engage with our members. Everyone affiliated to our organisation is going to have greater autonomy over the way they interact with the sport online, and we are going to be able to react to their needs much quicker. From an operational perspective, there are an array of features that we are also going to benefit from, particularly in terms of efficiencies gain and allowing our staff to spend more time on projects that result in added value to our members and the sport of Polo.”

Success is in the detail

As with all of our partnerships, we worked very closely with the team at the HPA to ensure that we incorporated a variety of features that align with some of the more complex areas of the sport. In many cases the end result was that introduction of the automated processes improved member experience and saved staff time. A selection of these features included automated validation of an individual’s handicap to only allow certain types of membership to be purchased; the distribution of member ‘packs’ including e-membership cards; the logging of work permits and distribution of paper work; and the management of horse passports.

We also paid special attention to the HPA’s club network and included a number of features to simplify their involvement in the sport. For example, we replaced a complicated manual process of managing an individual member’s affiliation to a club with a simple click of a mouse. Every time an individual affiliates to a club via the platform and pays their fees, the club administrator is notified via email and simply approves the affiliation by clicking a button contained within the email content.

Just like the relationships we have with all of our clients, we will continue to work with the team at the Hurlingham Polo Association to incorporate new features in to their Platform. Next on the list is a results and rankings tool that will allow players, coaches and clubs to track all of the scores, results and rankings from the HPA’s tournaments.
